Executive Board Meeting Summary September 16, 2020

The following items were discussed and decisions made at the RTOERO District 12 Norfolk Executive Board Zoom Meeting on Wednesday, September 16, 2020. Discussions
1. Ginger Pullen, our treasurer, gave a financial update. There will be a projected year-end balance of approximately $8000. The carryover will have no effect on our 2021 grant from RTOERO .
2. Sandra Reid reported on the Political Action activities. These included emails to both Toby Barrett and Diane Finley regarding RTOERO’s concerns about Senior Advocacy and she is waiting both replies. Inquiries to liaise with Norfolk County regarding Senior’s Advocacy have been made and established.
3. The Executive discussed the various organization should be given a donation from District 12. We are able to carry on our donations that we normally make.
4. The mileage rate required some revision because it has been several years since it has been updated.
5. A number of Outreach Activities were topics of discussion. They included the virtual Zoom Coffee Klatches, phone contacts for members without email, and the use of our RTOERO banner for District activities.
6. There was a discussion of the postponement of elections for the executive. Information from RTOERO Office regarding the election of District Executive elections was included in the discussion.
7. Lorie Dertinger reported that she has had several positive responses regarding the New Member gift bags.
8. The need for name tags for Executive Members while on District 12 business was discussed.
9. Ruth Ellen Kelly made the Executive aware of the need to find a new location for our archives in the relatively near future. We will continue to look for a new location.
Decisions
1. The donations to the Dolly Parton Imagination Library, Book Club Bag Program, and Remembrance Day Poppy Donations to Norfolk’s six Royal Canadian Legions are to continue. Doug Thompson will contact the Legions to make arrangements.
2. The mileage rate for District 12 business is 45 cents per kilometre.
3. The President will provide executive members individual phone lists to contact members that do not have email addresses
4. A source for fabric-friendly Name Tags for executive members will be investigated.
5. The current Executive will remain in their positions until the next Annual Meeting in the Spring of 2021. This conforms to RTOERO policy.
6. There will be no face-to-face meetings until RTOERO Office changes its policy. All meetings will be conducted virtually until further notice.
